Guide for Using Campus Resources Remotely

A guide to general technology resources available to students and employees who need to work from off campus.

NOTE: Storage on the Go is only accessible in the United States.

Employees should make sure to have at least two devices enrolled. If your primary device is your desk phone, you will need to enroll another device so that you can access University systems from off-campus.

Phones

There are several mobility options for employees who need to make and take phone calls using their office extension number.

Jabber

Jabber can be installed on laptops, tablets and smart phones. In addition to calls, you can instant message other Jabber users, hold 1:1 video conferences, and multi-user conference calls.  It may also be possible to accommodate staff who use hunt groups, co-manage a department phone, or manage the phones of others; please contact the Help Desk for assistance with these situations.

BRANCH EMPLOYEES: Because branch phones are still under the purview of CITS, the process of installing Jabber is a little different for branch employees.  Please refer to Jabber -- Instructions for Branch Employees for instructions.

NOTE:
  • Requirements: Client and internet access; uses data that may incur charges by your provider
  • Platteville campus employees, contact the ITS Help Desk to get started at 608.342.1400.  Be prepared with this information:
    • For University computer: Name/username and office extension

    • For cell phone: Name/username, office extension, and type of phone (Android or iPhone)

Forwarding your University phone to another number

Forwarding is NOT recommended.  The University has a limited number of circuits for this purpose.  If none of the options above will work, please contact the ITS Help Desk for further consultation.

Managing voicemail

UW-Platteville has voicemail-to-email integration.  Whenever a voice message is left, you will receive an audio file in your Office 365 inbox.

Instant Messaging

Perfect for asking a quick question or holding a real-time chat.  In order to participate, all people need to be using the same tool.
  • Skype for Business (client or Office 365 OWA) -- with other Office 365 users
  • Jabber -- with other Jabber users (see documentation above)

Remember to follow these guidelines when choosing where to store University data

Virtual Private Network (VPN)

Available on University-issued laptops. Provides seamless access to University network storage volumes and systems.

Logo Global ProtectAppears as Palo Alto Global Protect in the system tray in the lower right corner in Windows.
  • Requirements: Internet access
  • NOTE: VPN was enabled on March 13.  If your laptop has not been to campus since that date, you will need to bring it to campus so it can connect to the network and install the application.

Virtual desktops

Install the client to your desktop, laptop, tablet, or phone.  Log in with your University credentials to work as if you are on a campus computer. Includes access to common campus software titles and network storage volumes.

Storage on the Go

Access University network storage volumes through any web browser.  Requires internet access. View, download, and upload documents. 

Mapping a storage drive

Access University network storage volumes through your Operating System.  NOT recommended for use with large files!
  • Requirement: Internet access. 


There are several campus tools that facilitate collaboration between University employees and students and provide for meetings of all kinds.

Zoom

Zoom videoconferencing allows for ad hoc 1:1 meetings up to scheduled recurring meetings of hundreds. 

Office 365

Employees and students have access to maybe applications, including Teams, OneDrive, and Skype for Business.

Teams

In Microsoft Teams, teams are groups of people brought together for work, projects, or common interests. Teams are made up of channels. Each channel is built around a topic, like “Team Events,” a department name, or just for fun. Channels are where you hold meetings, have conversations, and work on files together.

OneDrive

OneDrive allows you to store files much as you would in your campus USER/J-drive. You may also share files with other UWPLATT account holders and sync files across various devices.

Skype for Business Online

Video conference with anyone who has an email address.


Most campus applications and programs are accessible through a browser with internet connection.  EXCEPTION: Business Intelligence


  • Faculty and instructional staff who need a device in order to work from home should contact their department chair or dean, who will contact ITS.
  • Non-instructional employees who need a device in order to work from home should contact their supervisor, who will contact ITS.

Tips for working with limited wireless connection

If your home internet connection needs a boost, using a hotspot on your cell phone may be a solution. NOTE: Hotspots draw battery power and use data.
  • For University-issued devices, hot spot capabilities are possible for a monthly fee.  Contact your supervisor for approval and send the request to the ITS Help Desk.
  • For personal devices, hot spot capabilities vary by device and plan; data charges may apply.  Contact your personal carrier for more information.
For those without internet access at home, check your local provider for possibilities.  Many providers are offering free services to families and students who need access during this social distancing period.
