Office 365 - Import class schedule from PASS CX into Outlook calendar

These instructions walk through the process of exporting a class schedule from PASS CX as an iCal and importing it into an Office 365 calendar.

NOTES:
This process does not result in a “live” sync; meaning, if you change your schedule in PASS, the change will not be reflected in Office 365 automatically.  You may handle changes by going to Office 365 and deleting or adding a course to the your calendar manually.

You will need to repeat the process for each new term (fall, winterim, spring, summer).

The iCal will contain your calendar data from week/term you are viewing and everything going forward.  For example, if you have summer and fall classes, and you open the calendar in the summer term, your schedules for summer and fall should populate in Office 365. If you open PASS in your fall schedule, only your fall schedule will populate.  If you attempt to create the iCal from a term in which there are no classes, you will receive a message saying there is no information.  Simply arrow forward to a week with classes and try again.

To export the iCal from PASS CX and add to your calendar using Outlook desktop client

  1. Log into PASS
  2. Click Schedule from the Dashboard menu.
  3. Click Download (.ics).
  4. Select the term from the drop down for the schedule to be downloaded, e.g. Fall 2022 NOTE: At this point, browsers will react differently. However, you should find the file in your Windows directory under Downloads.
  5. Open the downloaded file. If you have Outlook desktop client, it will open automatically and a dialogue box will appear.
  6. From the dialogue box
    1. Select Import to add your classes to your default Calendar; your classes will display as free/busy times for others.
    2. Select Open as New to create a secondary calendar for your eyes only; events on a secondary calendar are not reflected in free/busy times for others.
Your schedule should be visible in Outlook. The calendar will sync with your cloud account, so it will be visible wherever you access your campus email. Keep in mind if classes haven't started yet, you will need to move to the appropriate week to view the classes have been added.
